How can I get a tour?

Walk-ins may be accommodated Monday-Friday, 8 am to 3 pm, however, we recommend making an appointment with our rentals manager, Sylvia Glatman, at sglatman@swschool.org or 210.200.8211.  You can also make an appointment during our weekend site visits, the second Sunday of every month, between noon and 3 pm.

How do I secure a date?

A non-refundable deposit of half the rental rate is required to reserve a specific date and space.

Is my deposit refundable and can I change my reservation date later?

Because demand for our spaces is high, we are unable to refund deposits, no exceptions. The remaining balance is due two weeks prior to the event.  Booked dates are non-transferrable. Again, due to high demand, we cannot allow date changes after the deposit is made. Notice of cancellation must be received in writing. 

Does SSA provide tables and chairs?

We do not provide tables and chairs – your caterer or décor professional can secure these for you. For weddings in the Chapel, the SSA may provide pews to seat up to 40 people. Let the Rentals Manager know if this is something you require.

Can I choose my own caterer?

All events serving food or beverages must choose from our list of approved caterers. No exceptions will be made. Part of the school’s mission is to protect and preserve our award-winning historical site, and all of the caterers on our list have been trained to understand the special logistics of running an event at the historic site. They have also been vetted and approved for quality, responsiveness, and experience.

What about alcoholic beverages?

A TABC licensed bartender provided by your caterer must be used for the service of all alcoholic beverages. Clients will not be allowed to bring in their own alcohol, or buy it for their caterer to use.  Donated alcohol is not permitted. No exceptions.

Are there decorating or AV restrictions?

The Chapel, Copper Kitchen, and Bolner Conference Room are part of our historic site, and as such special restrictions do apply. No open flame is allowed in the Chapel, although an enclosed flame is permitted. No nails, screws, metal hooks, adhesive, tape of any kind or other materials may be driven in or placed on any wall, paneling, molding or light fixture inside the premises.  Nothing is to be hung, tied, draped, fastened, suspended or placed on any balcony, wall, column or any light fixture inside the Chapel. No amplified music or amplified performances are allowed on the outdoor grounds, although they can be used inside the buildings. Before 10 pm, some amplified dialogue, such as speeches or wedding vows, is allowed outdoors.

How much time do I have for set-up and take down?

Your caterer will be allowed access to the facility up to four hours prior to the event start time.  No equipment may be delivered before this time.  Caterer must complete clean up within two hours of the ending time of the event. All food and beverages and equipment must be removed from the event venue immediately following the event. The client will be charged a minimum of $250 if the facilities are not cleaned. 

Can anyone perform wedding services in the chapel?

Yes, the Chapel is now deconsecrated and is available to any denomination. However, for a Catholic service we suggest you first contact the Archdioceses of San Antonio’s office at 210.734.2620.

What’s allowed to celebrate the wedding recessional?

Rice, confetti, sparklers, and cascarones are not allowed at the Southwest School of Art.  Flower petals are only allowed if your caterer agrees to clean them up.  Birdseed and bubbles are recommended.

Can I schedule a rehearsal?

A one hour rehearsal period previous to the booked date can be arranged without charge during any uncommitted available time.  Rehearsals after 4:00 PM on regular school days and on weekends or holidays will require a minimum $60.00 security fee.  We cannot schedule the rehearsal time until three weeks prior to your event date.
